General Policies

Customer service

Customer service is available to answer any of your questions Monday through Friday from 9 a.m. to 5 p.m. PST at 206.441.9762. You can also email us at wsma@wsma.org.

Refund policy

Products

You may return new, unopened products sold within 30 days of delivery for a refund of the purchase price and applicable sales tax. (Shipping charges are not refundable). You can expect a refund within four weeks of product receipt by the WSMA.

Courses

Refunds are available for live event registration depending on when the refund is requested in relation to the start of the course.

  • 91 days or more until start of event: a 100% refund less a $100 processing fee per person
  • 61–90 days until start of event: a 75% refund
  • 31–60 days until start of event: a 25% refund
  • 30 days or less until start of event: no refund

The WSMA reserves the right to cancel the course. If so, preregistered participants will be notified, and full refunds provided. No-shows will receive no refund. Registrations may not be transferred to another person at any time. A participant may transfer registration to the next available course if space permits. All refunds will be issued to the original form of payment.

For in-person courses, the WSMA cannot be held responsible for other costs or expenses, including cancellation or change charges assessed by airlines, travel agencies, or hotels.

Seminars

Refunds are available for live event registration depending on when the refund is requested in relation to the start of the seminar.

  • 30 days or more until start of event: a 100% refund less a $25 processing fee per person
  • 15–29 days until start of event: 50% refund
  • 14 days until start of event: no refund

The WSMA reserves the right to cancel the seminar. If so, preregistered participants will be notified, and full refunds provided. No shows will receive no refund. Registrations may not be transferred to another person at any time. A participant may transfer registration to the next available course if space permits. All refunds will be issued to the original form of payment.

Membership Dues

Membership dues are non-refundable and apply to a single calendar year of membership.

Delivery method

All product orders are mailed via UPS Ground within five days of order receipt.

Privacy

What information do we collect?

We collect information from you when you register on our site or fill out a form. When ordering or registering on our site, as appropriate, you may be asked to enter your name or email address. You may, however, visit our site anonymously.

The WSMA also collects and maintains contact information for its members. This helps us ensure members successfully receive important WSMA communications and regular publications. This information is also used for administrative purposes within the organization.

Cookies

We use cookies on our website to track user activity and to allow seamless integration with third parties such as Moodle classroom and WebScribble for our career center. User activity does not track identifying data about the user, only user activity such as web pages requested, referring web page, browser used, and date and time of activity. This data can be shared with third parties, such as Google and Google Analytics, for purposes of improving and analyzing our site usage.

You can opt-out of collection of your user activity on our site and making it available to Google Analytics by installing the Google Analytics opt-out browser add-on. The add-on prevents the Google Analytics JavaScript (ga.js, analytics.js and dc.js) from sharing information with Google Analytics about visits activity.

What do we use your information for?

The WSMA knows that privacy is important to our members. The WSMA takes its responsibility to keep member information private very seriously, and when the WSMA shares member contact information with other organizations, we require these organizations to use that information appropriately and to keep it confidential.

Any of the information we collect from you may be used in one of the following ways:

To improve customer service (your information helps us to more effectively respond to your customer service requests and support needs).

To process transactions to deliver the purchased product or service you requested.

The email address you provide for order processing, may be used to send you information and updates pertaining to your order, in addition to receiving occasional company news, updates, related products or service information, etc.

How do we protect your information?

We implement a variety of security measures to maintain the safety of your personal information when you access your personal information.

Your data is stored on protected platforms and access to this data will be strictly limited to a minimum number of individuals and subject to confidentiality commitments. We use strict procedures and security features to try to prevent unauthorized access. When viewing your personal data through our services, the data will always be encrypted. We will take all steps that are reasonably necessary to ensure that your data is treated securely and in accordance with this Policy.

Do we disclose any information to outside parties?

From time to time, the WSMA may share your contact information with outside entities. Most frequently, this happens with a county medical society. This means the WSMA may share your contact information, including your email, with your county medical society if your county society is a unified county or if the WSMA collects dues on behalf of your county society. When the WSMA does this, we require the county medical society to restrict use of your information and to keep your information confidential.

Less frequently, the WSMA receives requests for members’ contact information from outside entities providing continuing medical education. The WSMA may decide to share this information with requesting entities, but the WSMA requires these entities to restrict use of contact information to solely education purposes and to keep the information confidential.

The WSMA may share your information with trusted third parties who assist us in operating our website, conducting our business, or serving you, so long as those parties agree to keep this information confidential. We may also release your information when we believe release is appropriate to comply with the law, enforce our site policies, or protect our or others’ rights, property, or safety.

We want you to have control of your data

You can view, update, or delete any of the personal data we collect from you. Most of the personal information can be viewed and updated through our member profile page when you are logged in to our website. Here you can also opt out of future communications from us. If you want a complete list of data or have any questions about viewing or updating information we have on file about you, please contact us with your specific request.

Data Retention

We will retain your personal information for as long as necessary to provide member or subscription services or to provide business services in the context with which the personal information was collected. Once these services are no longer needed, we retain the data in accordance with our company data retention policy for internal reporting, legal requirements, reconciliation, or to provide you with information you might request. Our company data retention policy is subject to review and modification. If none of our services are necessary for us to do business with you, you can request in writing that your data to be removed from our systems.

Agreement to abide by terms of use

By accessing any of WSMA’s websites, including wsma.org and any other site, page, or discussion or community forum maintained by the WSMA (including the virtual reference committees), you agree to comply with and be bound by these terms of use and related policies. Read this agreement carefully, and contact the WSMA office if you have any questions.

Terms of use and code of conduct

Before you may post any image, comment or other post on a WSMA website or discussion forum, you agree to the terms contained in this agreement. You agree to conduct yourself in a manner befitting the profession of medicine and agree to treat other users with respect and courtesy. Additionally, you may not post any comment or use any WSMA website in a way that would:

  1. Spread false or defamatory info.
  2. Include any content that is discriminatory, abusive, vulgar, threatening, or violative of any law.
  3. Promote commercial services or products or promote information and opinions irrelevant to the WSMA’s mission and the issues related to the particular webpage on which you posting.

License grant and restrictions

The WSMA is granting you a personal, revocable, limited, non-exclusive, non-transferable license to access and use WSMA’s websites, conditioned on your continued acceptance of, and compliance with, these terms of use and related policies. You may use WSMA’s websites and discussion or community forums (and the content contained thereon) for your noncommercial personal use and for no other purpose. The WSMA reserves the right to bar, restrict, or suspend any user's access to its websites or to terminate this license at any time for any reason.

The WSMA may, in its sole discretion, determine that a particular post violates these terms of use or related policies. The WSMA does not have an obligation to monitor user-generated content but reserves the right to do so. The WSMA retains the right to delete any post it finds to have violated these policies, and to take further action to block or prevent you from leaving additional posts if you have violated your agreement to abide by the terms of use and related policies.

Disclaimers

The WSMA is not responsible for the opinions or content posted by users to WSMA’s websites or discussion forums. User-generated comments or posts represent the views of those providing the comment or post and do not necessarily represent the views or policies of the WSMA.

By using the site, you agree you are aware that the materials, resolutions and reports featured on the discussion forums, or language included in the House of Delegates’ materials, may not have been approved or ratified, and thus may not reflect actual WSMA policy. These terms of use constitute a legally binding agreement between you and the WSMA regarding your use and access to WSMA’s websites and discussion forums.

The WSMA reserves the right to revise these terms of use (or related policies) at any time in its sole discretion merely by posting revised versions to the WSMA websites.
